Acceptance of Terms
These Terms & Conditions (“Terms”) apply to registrations, attendance, sponsorship, exhibition participation and related activities for the 3rd BFSI Tech Innovation Summit (“Summit”), organised by XhibitIQ (“Organiser”). By registering, purchasing a pass, accepting an invitation, sponsoring, exhibiting or attending the Summit, you (“Participant”) agree to these Terms and any event-specific terms communicated by the Organiser.
Registration and Admission
Registration is subject to availability, eligibility criteria and confirmation by the Organiser. Submission of a registration form does not guarantee admission until the Organiser confirms the registration and, where applicable, receives payment. Participants must provide accurate, complete and current information. The Organiser may verify registrations and may decline, cancel or restrict a registration where information is inaccurate, eligibility requirements are not met, payment is outstanding, or the registration appears fraudulent or inconsistent with the Summit’s intended audience.
Admission is limited to the person named on the confirmed registration or an approved substitute. Participants must carry valid identification and display their event badge as instructed. Badges are non-transferable unless a substitution is approved under Section 4.
Fees, Invoices and Payment
The applicable registration, sponsorship or exhibition fee will be stated in the relevant booking page, proposal, order form or invoice. Unless expressly agreed otherwise in writing, payment is due within five (5) working days of the invoice date and must be received before the Summit begins. Fees are exclusive of applicable taxes unless stated otherwise; GST and other legally applicable charges will be added as required.
Participants are responsible for checking invoice details and notifying the Organiser in writing of any requested correction within forty-eight (48) hours of receipt. Requests received later may not be accommodated once accounting or tax documents have been processed. Bank charges, currency-conversion costs and other transfer fees are the payer’s responsibility. The Organiser may withhold admission, benefits or deliverables for unpaid or overdue amounts.
Cancellations, Refunds and Substitutions
Unless a different written policy is expressly stated on the booking page or invoice, delegate registrations are non-cancellable and non-refundable once confirmed, including where a Participant does not attend, arrives late or leaves early. This does not limit any rights that cannot lawfully be excluded.
A registered delegate may request a substitute by emailing info@bfsitechsummit.in at least twenty-four (24) hours before the Summit begins. The request must include the original delegate’s details and the substitute’s full name, designation, organisation and contact details. Substitutions require written approval, are subject to eligibility and security checks, and may not be possible after badge printing or check-in has commenced.
Registrations, tickets, invitations, discounts and other event entitlements may not be resold, advertised for resale or transferred for commercial gain without the Organiser’s prior written consent. Any permitted refund, credit or adjustment will be made only to the original payer or the account/entity named on the invoice, subject to verification and applicable law.
Summit Cancellation, Postponement or Format Change
The Organiser will make reasonable efforts to deliver the Summit as advertised but may cancel, postpone, reschedule, relocate, shorten or change the format of the Summit where reasonably necessary. If the Organiser cancels the Summit entirely and does not offer a replacement date or alternative format, the Organiser’s proposed default remedy is a refund of the Summit registration fee actually received for the affected delegate pass, excluding non-recoverable third-party charges where legally permitted. Sponsorship and exhibition agreements may be governed by their own written terms.
If the Summit is postponed, relocated or moved online, a registration will ordinarily remain valid for the revised date, venue or format. Where a Participant cannot attend the revised Summit, the Organiser may, at its discretion and subject to the applicable booking terms, offer a credit, substitution or other reasonable remedy. Any refund or remedy required by applicable law will be honoured.
The Organiser is not responsible for travel, accommodation, visa, staffing, shipping or other incidental costs incurred by Participants in connection with the Summit, except where liability cannot lawfully be excluded.
Programme, Speakers and Venue
Speakers, session titles, agenda, timings, networking activities, exhibitors and venue details are published for planning purposes and may change. The Organiser may make reasonable substitutions or adjustments due to speaker availability, operational needs, safety, venue requirements or circumstances beyond its control. Material updates will be communicated through the event website, email or other official channels as practicable. A change to an individual speaker, session or agenda item does not by itself entitle a Participant to a refund.
Participants are responsible for checking official event communications for updated schedules, access instructions and venue information.
Force Majeure
The Organiser will not be treated as in breach to the extent performance is prevented, delayed or made impracticable by circumstances beyond its reasonable control, including natural disasters, severe weather, epidemic or pandemic measures, public-health emergencies, war, terrorism, civil unrest, government restrictions, fire, power or telecommunications failures, labour disputes, transport disruption, venue closure or other comparable events. The Organiser may suspend, modify, postpone or cancel affected activities and will communicate material decisions as reasonably practicable. Any financial remedy will be determined under Section 5, the applicable booking terms and mandatory law.
Participant Conduct, Safety and Access
Participants must behave professionally and respectfully, follow venue rules and reasonable instructions from event staff, and comply with applicable laws and safety requirements. Harassment, discrimination, intimidation, disruptive behaviour, unauthorised solicitation, misuse of event facilities, badge sharing, recording where prohibited, or conduct that risks the safety or privacy of others is not permitted.
The Organiser may refuse entry or remove a Participant who breaches these Terms, creates a safety or security concern, or materially disrupts the Summit. Where removal results from a Participant’s conduct, no refund is due, subject to applicable law. Participants must safeguard their belongings and are responsible for their own travel documents, insurance and personal arrangements.
Photography, Video and Audio Recording
The Summit may be photographed, filmed or recorded for event documentation, reporting, marketing and future promotional purposes. By attending, Participants acknowledge that they may appear incidentally in event footage or photographs. Where required by applicable law, the Organiser will provide appropriate notice and obtain consent or offer a reasonable opt-out process for identifiable promotional use. Participants must not record, livestream, photograph confidential presentations or capture other attendees’ personal information without the relevant permission and any approval required by the Organiser.
Intellectual Property and Use of Materials
All rights in the Summit name, branding, website, design, event materials and content created or supplied by the Organiser remain with the Organiser or the relevant rights holder. Speaker presentations, recordings, reports, photographs, logos and other materials may be protected by intellectual-property laws. Participants may use materials made available to them for their own internal, personal and non-commercial reference only, unless a separate written licence permits otherwise. No copying, distribution, publication, commercial use, recording or adaptation is permitted without prior written authorisation from the rights holder.
Participants and sponsors must not use XhibitIQ’s, the Summit’s, speakers’ or other parties’ names, trademarks, logos or likenesses in marketing or imply endorsement without prior written permission.
Privacy and Communications
The Organiser will process personal information submitted during registration and participation for purposes such as managing registrations and payments, providing event updates, administering access, facilitating networking, meeting legal obligations, improving the Summit and communicating relevant services. Information will be handled in accordance with applicable data-protection and privacy laws and the Organiser’s published Privacy Policy, available at Privacy Policy.
Personal information may be shared with service providers supporting event delivery and, where relevant and properly disclosed, with sponsors or partners for agreed event-related purposes. The Organiser should identify any delegate-list sharing or sponsor lead retrieval on the registration page and provide an appropriate choice or consent mechanism where required. Participants should not assume that contact details will be shared with other attendees or sponsors unless this is expressly disclosed.
Participants may receive essential administrative communications about their registration and the Summit. Marketing communications will be sent in accordance with applicable law, with an unsubscribe or opt-out mechanism where required. Participants must not collect, export or use other attendees’ contact details for unsolicited marketing or other unauthorised purposes.
Sponsors, Exhibitors and Third-Party Services
Sponsor and exhibitor benefits, deliverables, branding, payment schedules, cancellation rights and lead-generation arrangements will be governed by the relevant signed agreement, proposal or order form, which will prevail over these Terms to the extent of any inconsistency. Sponsors and exhibitors are responsible for the accuracy, legality and substantiation of their claims, promotional materials, products and services, and for obtaining any permissions required for materials they provide.
The Summit may refer to third-party organisations, products, services or websites. Such references do not necessarily constitute endorsement. The Organiser is not responsible for third-party products, services, statements, websites or transactions, except to the extent required by applicable law.
Disclaimer and Limitation of Liability
Summit content is provided for general information, discussion and professional learning. It is not legal, regulatory, investment, financial, tax, cybersecurity or other professional advice, and Participants should make their own assessments and seek independent advice where appropriate. Views expressed by speakers or Participants are their own and do not necessarily represent the Organiser’s views.
To the maximum extent permitted by law, the Organiser is not liable for indirect, incidental, special or consequential loss, loss of profits, revenue, business opportunity, data or goodwill, or for loss arising from a Participant’s reliance on presentations, statements or third-party information. Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited, including liability arising from fraud or wilful misconduct where applicable.
Subject to the foregoing and applicable law, the Organiser’s aggregate liability arising from a delegate registration will not exceed the registration fee paid to the Organiser for the affected pass.
Indemnity
To the extent permitted by law, a Participant is responsible for losses, claims, damages and reasonable costs arising from the Participant’s unlawful conduct, material breach of these Terms, infringement of another party’s rights, or damage to persons or property caused by the Participant. This clause does not apply to the extent a claim is caused by the Organiser’s own negligence, breach or other liability that cannot lawfully be excluded.
Accessibility and Special Requirements
Participants who require accessibility support, dietary accommodations or other reasonable arrangements should contact info@bfsitechsummit.in as early as possible. The Organiser will consider requests in good faith, subject to reasonable practicability, venue constraints and applicable law.
Governing Law and Disputes
These Terms are intended to be governed by the laws of India. Subject to any mandatory statutory rights and jurisdictional rules, the courts at Kochi, Kerala, INDIA will have jurisdiction over disputes arising from these Terms. The Organiser and Participant will first endeavour to resolve disputes through good-faith discussions.
Changes to These Terms
The Organiser may update these Terms where reasonably necessary. The version applicable to a Participant will be the version made available at the time of booking, except where an update is required by law or applies to ongoing event operations for legitimate safety, security or administrative reasons. Material changes will be communicated through the official event website or email where practicable.
General
If any provision of these Terms is held invalid or unenforceable, the remaining provisions will continue in effect to the extent possible. A failure or delay in enforcing a provision is not a waiver of that provision. These Terms, together with the relevant booking confirmation and any applicable written sponsor or exhibitor agreement, constitute the agreement relating to participation in the Summit. In the event of a conflict, a signed sponsor or exhibitor agreement will prevail for the subject matter it specifically covers.
